When you book a photographer for a session on a specific date, that photographer declines other enquiries for that date. If you cancel without a deposit in place, the photographer loses both your fee and any other work they could have taken. A booking deposit compensates the photographer for holding the date exclusively for you and provides the minimum financial security to justify the commitment.
For portrait sessions, deposits are typically 25–50% of the session fee. For weddings and longer events, deposits closer to 50% are common, and the remainder is usually due shortly before the date. Some photographers operate entirely upfront payment; others use staged payment schedules. All of these models are standard — the specific terms vary by photographer.
A professional photography contract protects both photographer and client. These are the elements you should expect to see:
Don't book without a written contract that covers at minimum the first five items above. Verbal agreements are very difficult to enforce if disputes arise.
It's standard practice for photography deposits to be non-refundable on cancellation within a specified period. This is fair compensation for the date being held and other work declined. What's less reasonable is a policy where the deposit is non-refundable even in circumstances entirely beyond the client's control — medical emergencies, bereavements. Most professional photographers exercise discretion in genuine hardship circumstances even when the contract technically doesn't require it.
Postponements (changing to a new date rather than cancelling entirely) are handled differently by different photographers. Many will transfer a deposit to a new date if contacted with reasonable notice. Clarify the postponement policy specifically before booking if there's any possibility your date might need to change.
