When to book a newborn photographer: Why you can't wait until baby arrives

The most common regret from new parents about newborn photography is not booking soon enough. The optimal window for newborn photos — days 5 to 14 after birth — closes faster than almost any other milestone. Here's why you need to book before your baby arrives, not after.
Why timing matters so much for newborn photography
Newborn photography in the first two weeks works because of a specific biological fact: in those early days, babies are still curled in the foetal position, sleep deeply for long stretches, and are small enough to fit into the wrapped, nested poses that define the style. After about two weeks, babies begin to straighten, sleep more lightly, and become noticeably more alert. Sessions are still possible and beautiful — but they look quite different, and the classic sleepy-newborn style becomes much harder to achieve.
The 5–14 day window
This is the sweet spot: baby is past the initial first-day hospital exhaustion, feeding is establishing itself, and baby is still in the deep-sleep newborn phase. Before day 5, many families are still in hospital or in the first-48-hour recovery period. After day 14, the sleepiness that makes posed sessions possible begins lifting noticeably.
Why you can't wait until baby arrives to book
Experienced newborn photographers — particularly those based in desirable areas like Cambridge, London, or the Cotswolds — fill their calendars months in advance. When a photographer books a newborn session, they're reserving not just a date but a flexible window around your due date, because no-one knows exactly when a baby will arrive. A photographer who takes 4 newborn sessions per month across a 3-month window commits to those families in advance.
If you call after your baby is born and ask for a session in the next two weeks, the answer is almost always either "we're fully booked" or "we have one slot left on a day that doesn't work for us." The families who get the session they want booked at 24 weeks pregnant, not 36 hours postpartum.
How provisional bookings work
Reputable newborn photographers don't ask you to pick a specific date when booking during pregnancy — they know that's impossible. Instead, most work on a flexible provisional booking system:
- ◆You book around 24–28 weeks: A small deposit holds your space in the photographer's calendar around your due date. You're not committing to a specific date — you're reserving the photographer's availability for a 4-week window around when your baby is expected.
- ◆You contact the photographer when baby arrives: Within 24–48 hours of birth, you message your photographer to say the baby has arrived. They then schedule the session for days 5–14, working around feeding schedules and your recovery.
- ◆Flexibility is built in: If the birth is early or late, sessions are usually rescheduled as needed. The deposit protects both parties and the flexibility is part of the service.
When to start looking: Your booking timeline
20–24 weeks
Start researching newborn photographers. Read portfolios, check reviews, shortlist 2–3 options.
24–28 weeks
Book your photographer. Confirm the provisonal date range and understand the booking and flexibility policy.
28–34 weeks
Have your maternity session if you're having one. Share any home preferences or nursery details with your newborn photographer.
Birth
Contact your photographer within 24 hours to confirm the session date, usually 5–14 days after birth.

What if you've missed the 5–14 day window?
All is not lost. While the classic posed newborn style becomes harder after two weeks, there are still beautiful options:
- ◆3–4 weeks (still newborn phase): Many photographers will still take bookings here. Baby is more alert, so sessions lean into eye-open awake portraits and parent-connection images rather than deep-sleep poses. Still beautiful, just different.
- ◆Fresh 48 / hospital session: Some photographers offer Fresh 48 sessions — a 1–2 hour lifestyle session in the hospital within the first 48 hours of birth. These capture the raw first hours rather than posed portraits. Requires a photographer willing to respond very quickly after the birth.
- ◆3-month milestone session: By 3 months, babies have head control and gorgeous alert expressions. A milestone session at this age produces very different images but often contains some of the most emotion-filled portraits from the first year.
