Before you contact a single photographer, be clear on the following:
Look for a photographer who has demonstrable experience with events similar to yours. An excellent wedding photographer is not automatically an excellent conference photographer — they are different disciplines requiring different skills and equipment.
If you need event images published within hours of the event — typical for award ceremonies, major launches, or charity galas with press coverage — you need to discuss this explicitly at booking. Quick-turnaround delivery often means a same-day or next-morning delivery of a curated selection of 10–30 edited images rather than the full gallery. For events running six or more hours, yes — it is both courteous and practical. A photographer who has not eaten is working at reduced effectiveness. Most photographers will eat discreetly during a natural lull in the event rather than taking a formal lunch break.
For events with simultaneous activities in different locations — separate conference streams, multiple stages, indoor and outdoor elements happening concurrently — a single photographer cannot cover everything. Consider whether two photographers are needed or whether you need to prioritise specific coverage areas.
Full access to all areas where photography is required, confirmed with the venue in writing before the event. Photographers who are blocked from specific areas produce incomplete coverage.
