Most couples spend hours browsing wedding supplier websites and portfolios — and then book based on price and instinct. That is understandable, but a twenty-minute conversation asking the right questions will tell you more than a hundred photos. It reveals how a supplier communicates, how they handle problems, and whether their working style fits yours.
Below are the essential questions to ask every wedding supplier before signing a contract. Some apply universally; others are role-specific. Use them as a starting framework and add your own based on your priorities.
Are you available on our date? Start here. Do not fall in love with a supplier's work before confirming availability.
Have you worked at our venue before? Venue familiarity matters. A photographer who knows the light at your venue, a caterer who knows the kitchen layout, or a florist who knows the delivery access will do a better job than one navigating it all on the day.
What happens if you are ill or have an emergency on the wedding day? Every professional supplier should have a contingency plan — a trusted colleague who can cover if they cannot attend. If they cannot answer this question clearly, that is a warning sign.
What does your contract cover, and what are the payment terms? Understand exactly what you are paying for, when the balance is due, and what the cancellation policy is on both sides.
Can we see reviews or speak to a previous couple? Testimonials on a website are curated. A genuine conversation with a couple who has used the supplier gives you unfiltered feedback.
How do you prefer to communicate, and how quickly do you typically respond? Communication style matters enormously over a 12–18 month engagement. If you send a question on Thursday and need an answer by Friday, does this supplier work that way?
How many images will we receive, and in what format? Understand the deliverable clearly — number of edited images, file format, resolution, whether you receive a print release.
How long does it take to receive the final gallery? Turnaround times vary widely. Some photographers deliver in four weeks; others take three to four months. Know what to expect.
Do you carry backup equipment? Professional photographers carry at least one backup body and additional lenses. Equipment failure on a wedding day is rare but not impossible — your photographer should be prepared.
Will you be the photographer on the day, or could it be a second shooter or associate? At some studios, the photographer whose work you admire is not necessarily the one who will photograph your wedding. Clarify this early.
Can we see a full gallery from a wedding similar to ours? Portfolios are highlights. A full gallery shows how a photographer handles every part of the day — the quiet moments, the difficult family formals, the reception speeches.
Do you work exclusively with our wedding or take multiple bookings that day? Some florists only take one wedding per weekend; others take several. The answer affects how much personal attention your wedding receives.
What happens to the flowers if our vision is not achievable within budget? A good florist will suggest alternatives rather than either over-promising or simply refusing. Watch how they approach this conversation.
What is your delivery and setup process on the day? Delivery timing affects everything from getting-ready photos to ceremony setup. Clarify when they arrive, how long setup takes, and when they collect hired items afterwards.
How many people can you accommodate in the morning, and how long per person? This directly determines your getting-ready timeline. Be specific about your bridal party size so they can give you an accurate schedule.
Do you charge a travel fee, and what are your start time requirements? Early starts often carry a surcharge. Factor this in when comparing quotes.
Will you do a trial before the wedding day? A trial is essential for brides and strongly recommended for bridesmaids. It is your chance to test the look, test the products on your skin, and build a relationship with the artist.
How do you handle music requests, and what is your process for learning our must-plays and must-avoids? A good entertainer builds a playlist around your preferences, not their default set.
What is your setup and sound-check time requirement? Bands typically need 90 minutes to two hours for setup. This affects the room layout and whether guests can access the reception space before the evening begins.
Do you have public liability insurance? Any professional supplier working at a commercial venue should carry this. Most venues require it.
"What do you wish couples asked you more often?" This open-ended question frequently surfaces the most useful information of the entire conversation — the things a supplier knows from experience that couples rarely think to enquire about.
