A team photography day is one of the highest-return corporate investments a business can make — consistent, professional images across your website, LinkedIn profiles, and marketing collateral communicate competence and cohesion before any conversation starts. Here is how to organise one that runs efficiently and produces results everyone uses.
Before booking a photographer, agree internally on the purpose of the images: LinkedIn profiles, company website, press materials, email signatures, or all of the above? Each use case has different size requirements and framing preferences. A LinkedIn profile is square-cropped and needs the subject close in frame; a website hero banner may need horizontal space and a more environmental context.
On-location at your office is the most practical option for teams of four or more — no travel time between individuals, familiar environment, and the option to use your actual workspace as a brand backdrop for some images. A photographer brings a portable studio setup including professional lighting and multiple background options. Alternatives include a hired studio or a combination of office and outdoor environments if your building has a courtyard, terrace, or interesting entrance.
Each individual typically takes 15–25 minutes in front of the camera. For a team of eight, this is approximately two to two-and-a-half hours plus setup. Schedule from 9am onwards if using a portable studio — earlier light is rarely relevant for indoor sessions. Allow a short buffer between each person. Use a strict sign-up sheet so no individual is waiting more than five minutes for their slot.
Send a preparation document two weeks in advance. Key guidance: solid, mid-tone colours photograph best — navy, charcoal, forest green, burgundy. Avoid very busy patterns, strong logos, or very pale colours next to pale skin. Ask everyone to bring two or three options so the photographer can advise on the day. All team members do not need to wear identical outfits, but a broadly co-ordinated palette helps a website look cohesive.
The photographer sets up in a designated room — typically 90 minutes before the first individual. Each person receives basic expression coaching: a small number of prompts that produce natural-looking, confident expressions rather than forced smiles. The photographer will take multiple frames per look to ensure choice. Some people need two minutes; some need ten. Do not rush anyone.
Most professional photographers deliver team sessions within five working days. All images should be retouched to a consistent standard — same skin tone rendering, same backdrop colour, same crop framing. Consistent retouching is what makes a team page look like a deliberate design decision rather than a collection of individual photos taken in different decades.
